Fees
The Fees section defines how your organization charges for aircraft usage and related services.
It ensures that all costs — from aircraft rental to instructor or landing fees — are automatically applied when reservations are created or flights are completed.
Only Admins can manage fee settings, and fees can be added or modified exclusively in the Web App.
The rates set here are reflected throughout the system, including during reservation creation and invoice generation.
We recommend entering as much fee-related information as possible to reflect your organization’s full pricing structure.
This helps ensure transparency for your clients and accuracy when creating invoices.
💡 Tip: Keeping your fees up to date helps maintain accurate cost calculations and prevents missing or incorrect charges in customer billing.
Fee Categories
The Fees page is divided into several tabs, allowing you to manage different types of costs:
Rental – Defines the hourly or block-time rate for each aircraft in your fleet.
Instructor – Sets the per-hour rate for instructors, typically used for training flights.
Landing – Used to record airport or per-landing service fees.
Fuel – Allows you to define additional fuel surcharges.
💡 Tip: Fees are automatically linked to aircraft, instructors, or specific activities depending on their type.
Managing Fees (Web App)
To access and edit fees:
Open the Admin section → Fees tab.
Select a fee category (Rental, Instructor, Landing, or Fuel).
Click the plus (+) button to add a new fee, or select an existing one to edit.
Enter the amount, currency, VAT rate, and description.
To remove a fee, click the red minus (–) icon on the right side of the list.
💡 Note: Each fee can be set in a different currency, depending on your organization’s accounting preferences.
How Fees Are Used
When creating a reservation, users immediately see the applicable aircraft rate.
Once a flight is marked as Landed, Admins can generate fees from the flight record when creating an invoice.
💡 Note: If your organization provides customized or negotiated services — such as aero taxi or charter flights — and predefined fees don’t cover these cases, additional charges can be added manually during invoice creation.
