Reservations Management
One of the most important modules within the FLYLOG.io Business Account is the integrated reservation system, which allows authorized users — Admins and Instructors — to review, adjust, confirm, or reject incoming reservation requests.
They, along with other users who have access to the schedule calendar, can also create new reservations to book aircraft or other services directly within the platform.
💡 Only Admins and Instructors can confirm reservations.
Accessing and Managing Reservations
All reservations — whether requested by users or created by Admins or Instructors — are centralized under the Admin section and displayed in the Flights tab of the Web App, or in the Admin tab in the Mobile App.
This section provides a complete overview of all pending and confirmed bookings, helping coordinate aircraft usage, instructor schedules, and customer activities.
Web App
When logging in, pending reservations are indicated by a notification badge next to the Admin section, helping you quickly identify new booking requests that need attention.
Open the Admin section → Flights tab to view all reservations, or check the main dashboard under the Overview tab for quick access to reservations.
In Flights, under the New Reservations tab in the top menu, you can review, adjust, confirm, or reject pending requests.
To create a new flight, click the plus (+) button and fill in the required details (aircraft, date, time, crew, and notes). This option is primarily used for ad-hoc flights that have not been booked through the standard schedule.
Mobile App
Switch to Admin mode by tapping the Admin icon in the bottom menu.
Open the Flights tab to view a list of all active, past, and new reservations.
Tap any reservation for quick access — you can review, adjust, confirm, or reject pending requests.

💡 Tip: The reservation overview automatically syncs across all devices, ensuring Admins, Instructors, and Users always see the latest booking updates in real time.
⚠️ Reservation Status:
All changes to reservation status — including confirmations, rejections, or edits — are automatically shared with the involved users via email notifications.
Creating Reservations in the Schedule
When Admins or Instructors create a reservation in the Schedule, it is automatically confirmed.
Reservations created by other users (e.g., Students, Pilots) appear as requests and must be confirmed or rejected by an Admin or Instructor.
Web App
Open the Schedule tab in the left menu.
Select the desired aircraft or instructor from the top menu to check availability.
Click on the desired time slot in the schedule — this will open the reservation form.
Alternatively, click the plus (+) button and select Aircraft Reservation.
Switch to Expert Mode to access advanced options.Fill in the required details (crew, purpose, remarks, or additional notes).
Click Save — the reservation will appear instantly in the schedule and in the Flights tab.
💡 Tip: The system automatically checks aircraft and instructor availability to prevent double-booking.
Mobile App
Open the Schedule tab in the bottom menu.
To ensure a clean and focused overview, select an aircraft or instructor from the top menu and use filters via the Timeline button in the top-left corner.
Tap on the desired time slot in the schedule — this will open the reservation form.
Alternatively, tap the plus (+) button and select Aircraft Reservation.Fill in the required details (crew, purpose, remarks, or additional notes).
Tap Save — the reservation will appear instantly in the Schedule and in the Flights tab.
