Flight Management

All flights within your organization are listed under the Flights tab in the Admin section, giving you a complete overview of all activity across different flight statuses.

In this article, you’ll learn how to handle the flight status workflow — from creation and confirmation to flight completion and invoicing.
Handling incoming reservations or creating bookings on behalf of customers is described in the Reservation Management article.

💡 Tip: Flight data is automatically updated based on confirmed reservations and recorded flight activity, ensuring that your operational overview always reflects real-time information.

Accessing and Managing Flights

💡 Tip: For the full range of management features, we recommend using the Web App. The Mobile App offers a simplified interface for quick access and essential updates.

Web App

  1. Open the Admin section → Flights tab.

  2. View all active, past, and pending flights in a single overview.

  3. Click any flight to open the Flight Details panel (available options depend on the current flight status).

  4. Perform the following actions as needed:

    • Change flight status — update between Confirmed, Landed (or Cancelled).

    • Review and edit flight details — including status history, aircraft, time, crew, and client (the person responsible for payment).

    • Sign record — available for examiners or authorized personnel.

    • Generate or manually add fees — used for accurate invoicing.

    • Download flight track (ADS-B) — attach flight data for record validation.

    • Create invoice — when invoiced, we recommend adding the “Invoiced” tag to display it clearly on the Overview dashboard.

    • Copy to FLYLOG.io Logbook — this option is for users who also uses FLYLOG.io for Pilots (once the flight is marked as Landed)

Mobile App

  1. Switch to Admin mode by tapping the Admin icon in the bottom menu.

  2. Open the Flights tab to see all scheduled and completed flights.

  3. Tap a flight to review or adjust details, confirm, or mark it as landed.

Flight Status Workflow

Each flight progresses through several stages, visible at the top of the flight record:
Reservation → Confirmed → Landed → (or Cancelled)

  • Reservation: Flight request created by a user or Admin.

  • Confirmed: Approved and ready for operation.

  • Landed: Completed flight — eligible for invoicing or balance deduction.

  • Cancelled: Reservation rejected or cancelled before departure.

Changing Flight Status

Each flight can be updated manually by Admins or Instructors to reflect its current progress.
To change the status, open the flight record and select the new stage at the top of the Flight Details panel.

Common workflow:

  • Reservation → Confirmed: When a booking is approved.

  • Confirmed → Landed: After the flight is completed; this enables invoicing and fee generation.

  • Any status → Cancelled: When a reservation is withdrawn or the flight does not take place. Flight will be still visible within the overview for later analysis.

💡 Tip: Keeping flight statuses updated ensures accurate reporting, maintenance scheduling, and financial tracking across your organization.

Quick Actions on Flight Records

Click the three-dot (…) menu next to any flight to quickly access key actions — options may vary depending on the flight’s status. Available actions include: View, Edit, Create Copy, Generate Fees, Create Invoice, Download Flight Track (ADS-B), Copy to Logbook, or Delete.
