Reservations

The Schedule allows you to view aircraft availability, plan flights, and create or manage reservations within your organization.
Reservations are created directly from the Schedule view, where you can check aircraft availability and submit new booking requests.
The information displayed depends on your user rights and on how the Admin manages the account, so some details may not be visible to all users (such as the names of other organisation clients).

Schedule Overview

The Schedule provides a visual timeline of all aircraft, reservations, and planned activities within your organization. You can quickly check when aircraft or instructors are available and review confirmed or pending bookings.

On mobile, the Schedule is available from the bottom navigation menu.
You can scroll horizontally to view different time periods and vertically to browse through the aircraft list.

On web, the Schedule is accessible from the left sidebar navigation.
The timeline view provides a wider overview, allowing you to monitor multiple aircraft or longer time frames at once.

You can switch between Timeline, Day, Week, or Month views and use the filters at the top of the screen to display specific aircraft or show all at once.

Colour Indicators:

  • 🟡 Yellow – Aircraft is booked and waiting for confirmation.

  • 🟢 Green – Aircraft is booked and confirmed.

💡 Tip: Use the date navigation arrows or the Today button to move quickly through the schedule.

Creating a Reservation

To create a new reservation, open the Schedule, filter for specific aircraft and days to check availability, and then create your reservation.
All reservations must be approved by your organization before they are confirmed and appear as active in the Schedule.
When the status of your reservation changes — for example, when it is approved, modified, or cancelled — you’ll be automatically notified by email.

On Mobile

  1. Open the Schedule from the bottom navigation menu.

  2. Select the aircraft and date, then check availability.

    • Tap an available time slot to open the reservation form, or

    • Tap the “+” button in the bottom-right corner for quick access.

  3. Fill in the required details.

  4. Tap Save to submit your reservation request.

On Web

  1. Open the Schedule from the left sidebar navigation.

  2. Select the aircraft and date, then check availability.

    • Click an available time slot to open the reservation form, or

    • Click the “+” button in the bottom-right corner for quick access.

  3. Fill in the required details.

  4. Click Save to submit your reservation request.

Cancelling a Reservation

  1. Open your reservation from the Schedule or My Flights tab.

  2. From the top bar, select “X – Cancelled” and confirm the cancellation.

💡 Tip: To view all your upcoming and past bookings in one place, open the My Flights tab.

After Completing a Flight

Once your flight is completed, open the reservation to fill in the post-flight details.
Enter the actual block time, number of landings, and any other required information requested by your organization.
If any technical issue occurred during the flight, tap Report Issue to describe the problem and submit it for review.

Your organization uses this information to update aircraft records, calculate flight billing, and maintain compliance with operational requirements.

💡 Tip: Always complete post-flight details as soon as possible after landing to ensure accurate records and invoicing.
