Contact (User) Profile

The People section is more than just a list of contacts or users with access to your Business Account — it’s designed to serve as your organization’s lightweight CRM, helping you manage information about clients, students, business partners, employees, and suppliers.

💡 Tip: For the best experience and access to all management features, we recommend using the Web App when editing or reviewing profiles.

Accessing a Profile

Web App:

  1. In the Admin section, scroll down to People.

  2. Select a person from the list to open their profile, or click Add new contact to create a new one.

  3. To add or adjust information for an existing contact, click on the selected contact to open their Contact Detail view.

  4. To edit a specific field, click directly on it.
    To adjust personal information, click the pen (✏️) button.

Mobile App:

  1. Switch to the Admin mode by tapping the Admin icon in the bottom menu.

  2. Tap […] and select People, or from the top menu, tap the People icon directly.

  3. Tap a name from the list to open and adjust an existing profile, or use the plus (+) button to create a new contact.
    (Editing and linking options are limited in the mobile version — use the Web App for full management.)

Profile Overview

Each Contact (User) Profile in the People section provides a complete overview of the person’s data, access level, and linked resources.
From here, Admins can manage key information and settings, ensuring that each contact or user has up-to-date details and the correct permissions.

Within the profile, you can:

  • Set Access Role: Define whether the person is a User or Contact and assign the appropriate access level (e.g., Restricted, Basic, Instructor, Admin).

  • Edit Personal Information: Update first and last name, phone, email, company, VAT ID, and address details (street, city, country).

  • Add Tags: Categorize the person using tags to simplify filtering and reporting. You can use the default tags such as Client, Crew, or PAX, or create your own custom tags based on your organization’s needs.

  • Manage Licences: Record and track pilot or instructor licences, ratings, and validity periods.

  • Upload Files: Attach relevant documents such as scanned licences, certificates, or ID copies directly to the profile.

Financial and Operational Settings

Each Contact (User) Profile also includes tools for managing financial balances, discounts, and activity visibility.
These settings help Admins track client payments, apply special pricing, and configure how users interact with reservations and notifications.

  • Balance: Displays the person’s current credit or outstanding balance within your organization.
    The balance updates automatically when invoices are issued or payments are received.

  • Set Discount: Allows you to assign a custom discount rate for this person, applied automatically when generating invoices or reservations.
    This feature is especially useful for students, frequent customers, or internal staff.

  • Show Flights / Show Totals: Quickly view all recorded flights or total times linked to this contact.

  • Send Invitation to Join Company: Use this option to invite the person to access your Business Account if they don’t have access yet (requires an email address).

  • Syllabus (Training Tracking): Enable this option to track the training progress of students directly from their profile.

  • Notifications: Enable or disable system notifications for this user (for example, to alert them about new or modified reservation requests).

All settings can be changed at any time by Admins. Financial data and balances update in real time across linked invoices and reservations.

Profile Actions

Each entry in the People list has an actions menu () for quick management:

  • Filter — show only contacts/users matching selected criteria (e.g., role, tag, licence).

  • View — open the profile in read mode.

  • Edit — open the profile for editing.

  • Put to Archive — move the contact to an inactive list while keeping historical data intact.

  • Delete — permanently remove the contact from your organization (cannot be undone; associated links are removed).
