Finance & Invoicing

Within the Business Account, you can easily manage customer finances — set up and monitor credit balances, apply discounts, and generate invoices — all logically structured under Contact Profiles and Flights.

Managing Credit Balance and Discounts

Credit Balance can be edited in the client’s Contact Profile under the People section.
From here, Admins can add credit, which is automatically deducted once a flight is marked as Landed. Both you and your customers can easily monitor their financial balance in real time.

To add credit, simply click the plus (+) button, fill in the required details, and click Save.

You can also set an individual discount for each client. The discount is automatically applied when generating fees and creating invoices, ensuring consistent and transparent pricing.

Generating Invoices

Invoices can be created directly from the Flight Detail screen once a flight is in the Landed status.
All applicable fees (rental, instructor, landing, fuel, etc.) are automatically included based on the rates defined in your Fee Settings.

To create an invoice for a single flight:

  1. Open the Flight Detail view of a completed (Landed) flight.

  2. Generate fees or set up individual charges.

  3. Click Create Invoice.

  4. Review or adjust the pre-filled fee items.

  5. Save and download or print the invoice.

To create invoice for multiple flights:

  1. Open the Flights tab and filter by customer name and date range (or any other parameters).

  2. Generate fees or set up individual charges for each flight via the (…) button in flight details.

  3. In the top menu, click the (…) menu and select Generate Invoice.

  4. Review or adjust the pre-filled fee items.

  5. Save and download or print the invoice.

💡 Note: If your organization provides customized or negotiated services (e.g., bizjet or charter operations), additional charges can be added manually when generating fees before invoice creation.

Tracking Payments and Balances

Once an invoice is issued, the total is automatically reflected in the client’s Credit Balance. ADMIN can also easily track paid and outstanding amounts across all customers through their individual profiles. For better reporting, we recommend using Tags such as Invoiced, Paid, or Outstanding to keep your financial records organized and clearly displayed in the Overview Dashboard.
