User Management
The People section serves as your organization’s lightweight CRM — allowing Admins to manage all individuals linked to your Business Account.
From here, you can create your contact list, invite users with access rights, and keep all personal, operational, and financial data structured in one place.
💡 Tip: For the best experience and full access to all management features, we recommend using the Web App when editing or reviewing profiles.
Terminology
Contact: A person added to your organization who does not have access to the Business Account.
User: A contact who has been granted access to your Business Account. Users can log in, manage their flights and reservations, and communicate within the system.
This structure ensures that all people in your organization — whether internal or external — are managed consistently in one place.
For details about how to create and edit contact profiles, see the Contact Profile article.
Navigate to People Section
In the People section, Admins can create contacts and invite users to join the company business account.
Web App:
In the Admin section, scroll down to People.
From the top menu, select either “Invite new user” or “Add contact”.
Mobile App (creating contacts only):
Switch to the Admin section by tapping the Admin icon in the bottom menu.
In the top-right menu, tap […] and select People,
or from the top menu, tap the People icon directly.Tap the plus (+) button to create a new contact.
(Inviting new users is currently available only in the Web App.)

Add Contacts or Invite Users
Create a Contact:
Use this option to add people who do not need direct access to your Business Account.
Contacts can be stored in your company directory and linked later if you decide to grant them access. This is useful for maintaining records of clients, suppliers, or partners who do not require login privileges.

Invite a User:
Use this option to grant a person access to your Business Account. Invited users can log in, manage their own flights and reservations, and communicate within the system.

When sending an invitation, enter the person’s email address and assign their access role.
An invitation email is sent automatically, and the user must accept it to join your organization.
After acceptance, you can complete their profile by filling in all key details relevant to your business.
⚠️ If the invited person doesn’t receive the invitation email, you can manually share the invitation link. It’s automatically generated when creating a user profile and can be found directly under the user’s profile.

User Roles
Assigning the correct user role ensures that each member has the appropriate level of access while maintaining workflow efficiency and data security. Admins can adjust roles at any time to match operational needs.
Role | Description |
|---|---|
Restricted | No access. Useful for suppliers or external contacts who should not log in. |
Basic | Can create and edit their own reservations. |
Student | Can create and edit their own reservations and access the training syllabus. |
Pilot | Can create reservations and add their own flights for a limited time. |
Instructor | Can create and confirm reservations, add their own flights for a limited time, and edit the training syllabus. |
Viewer | Read-only access. Suitable for CAMO staff and other support personnel. |
Admin | Full access to all data and settings. Can invite new members and manage user roles. |
Managing Existing Contacts and Users
Once contacts and users have been added or invited, Admins can:
Edit or update contact details.
Change user roles (assign or remove Admin access).
Remove people from the organization.
Review associated reservations, flights, and activities.
Removing a User
When a user is removed from your organization, their access to company data, reservations, and shared resources is immediately revoked.
Their personal FLYLOG.io Pilot Logbook (if they have one) remains active under their individual account and is not affected by company-level changes.
Notes for Admins
You can have multiple Admins within one Business Account.
Only Admins can invite, remove, or modify other people.
Changes to roles, tags, and permissions take effect immediately.
We recommend keeping at least two Admins for continuous access to the account.
