How to Set Up Your Account

FLYLOG.io for Business is a self-service aircraft management platform for flight schools, aircraft rental operators and flying clubs with small to mid-sized fleets. It brings bookings, aircraft logs, maintenance, pilot records, communication and billing into one system.

You set up and run the platform yourself, with your team or your club committee. We do not offer demos or onboarding calls on purpose: the workflows are simple, every feature is documented, and you can start right away and configure the system at your own pace. If you have a question, our support team answers by email. This is how we keep the price low without cutting features or support.

FLYLOG.io for Business runs as a web application and as mobile apps for iOS and Android. Always sign in with the same email address or login method you used when creating the account, so your data stays in sync on every device.

๐Ÿ’ก Recommendation: Use the web version for the initial setup and for day-to-day administration. It gives you the full Admin toolset and a complete overview of your organization. The mobile apps are best for daily use by pilots, students, renters and instructors.

Where things are

The left menu has two parts.

Info & Docs, Schedule, Map and My are visible to everyone, but what they show depends on the role. My is the personal area of each user: their own Flights, Totals, Fleet, Contacts and Syllabus. A regular member sees only these four sections, and in Schedule they see aircraft availability only, so they can make a reservation without seeing who else is flying. Instructors see the full schedule with all bookings, names and details, and more than members in general, but less than admins.

Admin is visible only to users with the Admin role. All setup and administration happens here: Overview, Analytics, Flights, Export, Syllabus, People, Duties, Fleet, Fees, Invoices and Settings. What each role can see and do is explained in the User Management article; the User Guide describes the platform from the member's side.

The organization name in the top right corner is a switcher. Use it to move between FLYLOG.io for Business and your personal FLYLOG.io pilot logbook, and, if you belong to more than one organization using FLYLOG.io, to switch between them.

Getting Started: Initial Setup

Setting up your organization is a step-by-step process. Each area is described in detail in the Admin Guide. For pilots, students, members and renters, the User Guide explains how to use the system from their side.

We recommend completing these five steps first:

1. Configure Your Organization

Go to Admin โ†’ Settings and complete your organization profile: company or club details, billing information and default settings that match how you operate.

2. Create Your Aircraft Fleet & Maintenance

Go to Admin โ†’ Fleet and add your aircraft. Enter aircraft details, opening totals, availability, and maintenance schedules and limits. From now on every flight updates the aircraft logs and maintenance counters automatically.

3. Define Rates and Fees

In Admin โ†’ Fees, set your prices for aircraft rental, instructor time, landings, fuel and any extra charges. You can set different rates and discounts for members, students and renters. These rates are used automatically in reservations, invoices and reports.

4. Build Your People Database

Use Admin โ†’ People to add your contacts and invite them by email. Assign roles such as Admin, Instructor, Student, Pilot or Viewer, and decide who can log in and which features they can use. Members, students and renters all get their own login and see only what they need.

5. Set Up Your Info Hub

With Info & Docs you keep communication and documents in one place. Post announcements, upload manuals, procedures, club rules and policies, and make them easy to find for your pilots, crew and partners.

Optional steps

Instructor availability: if you have instructors in your organization, set their availability in Admin โ†’ Duties.

Training syllabus: schools and clubs that train pilots can use the predefined PPL(A) or PPL(H) syllabus, or create their own, for example for UL or LAPL, in Admin โ†’ Syllabus. The syllabus is then enabled per student.

Your daily routine

Once set up, start your day in Admin โ†’ Overview. New reservations wait there for you to confirm or cancel with one click, and you see this month's flights, fleet utilisation and airports at a glance. Everything else, from invoices to exports, has its own guide in the Admin section of this Help Center.
