Fees
Fees are the prices your organization charges for flying: aircraft rental, landings, crew time, fuel and extra services. Once set, they are applied automatically to every landed flight, so invoices and member balances are calculated without manual work.
💡 Only Admins manage fees, and only in the web app.
Setting Up Fees
Go to Admin → Fees. Fees are grouped in four tabs:
Rental: the rate per aircraft, based on block time or flight time. Set a rate for each aircraft in your fleet; different aircraft can have different rates and currencies.
Landing: landing or approach fees, per airport if needed.
Crew: rates for crew positions, for example instructor, safety pilot or examiner, per hour or per flight.
Fuel: fuel charged to the pilot, per litre or per flight, when fuel is not included in the rental rate.
For each fee you choose the currency and the VAT rate; the list shows the price with and without tax. Fees in a currency other than your default are converted on the invoice.
Member and Customer Rates
Fees are the standard price. To give a member, student or regular customer a lower price, set an individual discount in their Contact Profile; it is applied automatically to all their fees. This is how clubs typically separate member rates from guest rates.
Extra Charges
Services that are not standard fees, for example a negotiated charter price, a headset rental or a briefing, are added by hand to the flight before invoicing. Go to Admin → Flights, open the flight record in edit mode, choose Add fee, fill in the fee form and save. The extra charge then appears on the invoice together with the automatically calculated fees.
How Fees Are Used
Once a flight is marked Landed, you can generate its fees with one click. FLYLOG.io calculates them from the rates above, the recorded flight or block time, the counters and the person's discount. You can review and adjust the amounts before they go on an invoice or are deducted from the pilot's credit balance. See Finance & Invoicing for invoicing and balances.
💡 Tip: Set your fees before inviting members; the first landed flight will then already carry the right price.
