Admin → Flights is the complete record of everything your aircraft have flown and will fly: reservations, confirmed bookings, landed flights and cancellations. Admins use it to complete post-flight data, calculate fees, create invoices and keep the aircraft logs correct.

💡 All flight actions are available in both apps; the web app gives you a better overview when working with many flights, fees and invoices.

The Flights List

The list shows every flight with its status, date, route, aircraft, crew and pilot. Use the filters at the top to narrow it by period, status, aircraft, person, label or airport. The badge on the Flights menu shows how many reservations are waiting for confirmation.

Flight Statuses

Flights move through Reservation → Confirmed → Landed (or Cancelled). Reservations and confirmations are described in the Reservations article; from Landed onwards the flight is a record you work with here.

Post-Flight Data

When a flight lands, the pilot enters the post-flight details in the app: block and flight times, landings, the counters your organization has set up for the aircraft, fuel and remarks. Admins can check and correct these values in the flight record. Correct counter values matter: maintenance reminders and the aircraft logs are calculated from them.

Working with a Flight

Open a flight from the list. Depending on its status you can:

• Edit the flight: times, route, crew, counters, remarks.

• Mark as Landed on behalf of the pilot.

• Generate fees from the flight data and your rates, and add extra fees (see Fees).

• Create an invoice for this flight or add it to a monthly invoice (see Finance & Invoicing).

• Sign the record: instructors sign training flights and checkouts.

• Download the flight track from ADS-B data, if available.

• Add labels, for example Training, Rental, Invoiced or Paid.

• Delete the flight (Admins only). Deleted flights are removed from aircraft totals.

Adding a Flight Without a Reservation

Flights that did not go through the reservation system, for example a maintenance test flight or a flight logged after the fact, can be added directly. Click + in the Flights list, enter the flight details and counters, and save it as Landed.

Flights and Pilot Logbooks

Pilots who use the FLYLOG.io pilot logbook get their landed flights from your organization synced to their personal logbook automatically. See Sync with Pilot Logbook in the User Guide.
